GUEST SERVICE AGENT (PART-TIME Avon Office)
If you're an effective and empathetic communicator and a passionate team player, we have the perfect job for you! Seaside Vacations is searching for a part-time Guest Services Representative with strong interpersonal skills to join our fun, family-oriented team.
This is a part-time, year-round position. Must be open to weekend/holiday duty. This position is for our Avon office with some occasional days in the Kitty Hawk office.
Responsibilities include but are not limited to:
- Taking calls, texts, and chats from guests and assisting them in finding the right home for their vacation.
- Follow-ups to secure reservations
- Assist guests with reservation issues or issues during their stay.
- Daily use of software and other tools to book reservations, manage leads, perform reservation maintenance, etc.
- Coordinating with other departments to ensure smooth operations and guest satisfaction.
- Attendance of training, company-wide meetings, team-building workshops, and social events.
Requirements and Qualifications:
- Strong customer service skills
- Excellent written and verbal communication skills. Detail-oriented with the ability to prioritize tasks and multitask.
- Proficient in computer skills and associated computer programs (word, excel, google, etc)
- Knowledge of the Outer Banks Area and vacation rental industry preferred.

Housekeeping Manager
Department: Operations - Housekeeping Division
Reports To: Operations Manager/ Assistant Operations Manager
Job Summary:
This role is a key position within the company in the delivery of customer service to our guests and homeowners. This is not an entry-level position.
The role is responsible for leading, training, and supervising the housekeeping team while ensuring all housekeeping staff follow the proper safety and sanitation standards for guest rooms and public spaces.
Basic Spanish a Plus, but NOT required
Other Department Relationships: Owner Services, Guest Services, Hospitality, and Maintenance
Key Responsibilities and Accountabilities:
- Create and/or update our standards and training documentation in both English and Spanish as needed.
- You will be responsible for assisting with the recruitment and onboarding process
- You will be responsible for hiring and accountability for all housekeepers and property service runners
- Provide training to our housekeepers and ensure understanding by them
- Coordinate and keep the team up-to-date with the status of private or commercial cleans
- Utilize our technology systems to properly create, update, and close out work tasks
- Clearly and quickly communicate with homeowners and guests on any housekeeping issues that may arise
- Partner with the Operations Manager on improving cleaners' efficiency and effectivenessInvestigate housekeeping compensation requests.

- Order cleaning chemicals weekly to ensure housekeepers have the proper tools to complete their task

Working Conditions:
- 70% office, and 30% in fieldwork, where working conditions may require working in the extreme cold and/or heat outside for long periods.
- May be required to serve in an on-call capacity to respond to an unforeseen circumstance or emergency and, if such circumstance arises, to report to work after the end of the employees' regular shifts and before the beginning of their next scheduled shifts.
- May be required to lift between 25-50 lbs.

Property Coordinator
We are expanding our team and actively recruiting for a Property Coordinator. The Property Coordinator position involves responsibilities centered around a variety of vacation rental homes here on the Outer Banks. This role is crucial to our success as you work as the main point of contact for homeowners and closely with team members to foster relationships with clientele, offer problem resolution, manage and routinely inspect rental homes, and provide top-notch customer service to maintain a positive company reputation under the Seaside Vacations brand.
Position Summary
- The Property Coordinator (PC) position is a full-time, year-round, salaried position.
- The PC has the primary responsibility for all aspects of the owner relationship, unit readiness, and guest issue resolution. The PC may have seasonal staff assigned to them in support of their role.
- The PC has routine contact with the Housekeeping Manager relative to the cleanliness of the unit, the Maintenance Manager relative to repairs and unit readiness, and the Revenue Manager relative to maximizing homeowner income.
- Responsibilities include but are not limited to:
- Maintain and foster relationships with owners to create loyalty and maximize homeowner retention.
- Assist owners and guests with effective resolution of problems and complaints.
- Ensure the highest level of customer service to owners and guests to maintain a positive brand image and company reputation.
- Manage a small team of people who will assist you in taking care of your assigned group of homes following well-defined processes.
- Participate in property inspections and evaluations to ensure company standards are met and the property is advertised correctly.
- Oversee the property management agreement renewal process for assigned homes.
Qualifications:
- Excellent customer service skills
- Hospitality experience is highly desirable
- NC real estate license and knowledge of the vacation rental industry are a plus but not required.
- Computer skills including MS Office and G Suite (Google Workplace)

Operations Coordinator
Job Summary:
The Maintenance/Operations Coordinator is responsible for scheduling all maintenance and housekeeping requests for our homes. You will work directly with our internal maintenance techs, housekeeping teams, and vendors to provide prompt, effective customer service, resolution, and follow-up for all property maintenance needs.
Key Responsibilities and Accountabilities:
- Coordinate the activities of Maintenance Technicians, Air Filter Technicians, and Housekeeping Staff and keep them highly organized and efficient
- Coordinate and keep the team and owners up-to-date with the status of vended work
- Utilize our technology systems to properly create, update, and close out work tasks (internal and vendor)
- Clearly and promptly communicate with homeowners and guests about any maintenance issues that may arise
- Partner with the Maintenance, Pool & Spa, and Housekeeping Managers on improving operational effectiveness.
- Investigate maintenance compensation requests
- Regular meetings with management to review expenses and give advice on improving the financial operations of the department

Maintenance Technician
Seaside Vacations is looking for a candidate to fill a Maintenance Technician position.
Looking for candidates with a positive, team-focused attitude. The Maintenance Technician plays an important customer service role while proudly taking on duties assisting guests in resolving minor maintenance issues throughout their visit and ensuring homes are kept in good repair for our homeowners.
Duties may include, but are not limited to:
- Completion of all assigned work orders to be done within the standards of Seaside Vacations Assist guests with the operation of electronic equipment.
- General home maintenance
- Minor plumbing, electrical, HVAC & carpentry.
- Troubleshoot internet and TV issues.
- Basic yard work.
- Power washing.
- Shoveling sand.
- Troubleshooting appliances.
- Update & program keyless lock systems.
- Purchase & deliver items as requested by a guest, an owner, or other staff members.
- Perform maintenance inspections when assigned
- Assure that all paperwork associated with the job is accurate and timely, especially items and details relating to billing, such as receipts. Must be completed within digitally assigned work order.
- Update and manage work orders from the field.
Working Conditions and Environment/Physical Demands:
- This is a physically demanding position that requires a fast pace, and the ability to lift and carry heavy objects up and downstairs.
- Ability to effectively work with owners of vacation rental properties and the rental guests in those units.
- Requires being out of the office and in the units managed by Seaside Vacations in hot and cold weather and in heavy local traffic conditions
- Availability to work rotating on-call 24/7 shifts that include evenings, midnights, days, weekends, and holidays, when required.
Must have a clean driving record and be able to pass a background check.

Operations Runner
Department: Operations - Housekeeping Division
Reports To: Operations Manager
Key Responsibilities of an Operations Runner:
- Conduct routine site visits to ensure properties are well-maintained, addressing minor cleaning issues as needed, and reporting any major concerns to property management.
- Assist tenants with minor housekeeping requests, deliver notices or correspondence, and facilitate communication between tenants and the property management team.
- Run errands to pick up supplies or deliver materials as needed.
- Support property managers with administrative tasks such as filing, organizing, and data entry.
- Assist in preparing properties for new tenants by checking readiness, overseeing inspections, and ensuring all necessary maintenance and cleaning are completed.
- Assist with day-to-day property operations, including managing keys, ensuring security of vacant units, and maintaining inventory of property supplies.
- Help organize and set up any tenant or property-related events, such as meetings, social events, or open houses.
- Respond to emergencies and support the team with time-sensitive tasks when needed.
Skills required for an operations runner:
- Previous experience in property management, facilities maintenance, or a related field is a plus, but not required.
- Strong verbal and written communication skills with the ability to interact professionally with tenants, vendors, and team members.
- Ability to manage multiple tasks, prioritize responsibilities, and maintain attention to detail.
- Ability to perform physical tasks such as lifting, carrying supplies, and walking or inspecting properties.
- A valid driver’s license and reliable transportation for running errands and property inspections.

Laundry Attendant

Key responsibilities of a laundry attendant:
- Sorting laundry: Separate soiled items by color, fabric type, and stain level.
- Washing and drying: Operate commercial laundry equipment to wash and dry items according to proper settings.
- Stain treatment: Apply appropriate stain removal techniques based on fabric and stain type.
- Folding and pressing: Fold or press cleaned items neatly, ensuring proper presentation.
- Inventory management: Maintain accurate linen inventory by tracking and reporting missing or damaged items.
- Equipment maintenance: Clean and maintain laundry machines, including lint traps and washing compartments.
- Customer service: Interact with guests or customers to receive laundry items, address concerns, and deliver cleaned laundry.
- Safety compliance: Adhere to safety protocols regarding chemical handling and laundry machine operation.
- Attention to detail: Ability to identify and handle delicate fabrics and special washing instructions.
